The usual culprit is the report: a 40-slide deck full of detail, with the key message buried on slide 31. Stakeholders skim it, nod politely and return to their existing plans.

A strong UX research report does the opposite. It makes the findings clear, credible and easy to act on. This guide explains what a research report should contain, how to structure it, how to tailor it to different audiences and which mistakes to avoid.

What Is a UX Research Report?

A UX research report is a document or presentation that communicates what a study set out to learn, how it was done, what was found and what the team should do next. Its job is not to prove that research happened. Its job is to inform decisions.

A good report answers three questions for the reader:

What did we learn?

How confident are we?

What should we do about it?

Everything else is supporting material.

Know Your Audience First

Different readers need different things, and one report rarely serves them all equally.

Executives and sponsors want the headline, the business impact and the decision required. They need a page or a few slides.

Product managers want prioritized findings and recommendations linked to roadmap choices.

Designers want specifics: where users struggled, what they said and what patterns emerged.

Engineers want clear problem descriptions and context, especially for usability issues.

Fellow researchers want methodology, sample details and limitations.

A practical approach is a layered report: a one-page summary on top, a core findings section in the middle and detailed evidence and methodology in an appendix. Readers can stop at the depth they need.

The Anatomy of a Strong Research Report

1. Executive summary

Open with the most important content. In half a page, state the research goal, the two to five key findings and the main recommendations. Many readers will only read this, so write it as if it were the whole report. Lead with insights, not process.

2. Background and objectives

Briefly explain why the study was done: the business question, the decision it supports and the specific research questions. This context helps readers judge whether the findings are relevant to them. If you started from a well-defined research plan, most of this section can be drawn directly from it.

3. Methodology

Describe what you did in plain language:

Method used (interviews, usability tests, survey, diary study)

Number and type of participants, and how they were recruited

Tasks, scenarios or topics covered

Dates, tools and any prototype or product version tested

Keep it short in the main body and move extra detail to the appendix. Choosing the right method matters, and our overview of UX research methods can help you explain why a given approach suited the question.

4. Participant overview

Summarize who took part in a simple table: roles, experience level, devices or other relevant traits. Avoid personal identifiers and respect the confidentiality promised in consent forms.

5. Key findings

This is the heart of the report. Organize findings by theme or by research question rather than chronologically by session. For each finding:

State it clearly as an insight, such as “Users could not tell whether their payment had gone through.”

Show the evidence: quotes, short video clips, screenshots, task success rates or counts of how many participants experienced the issue.

Explain why it matters: the impact on users and on the business.

Indicate severity or confidence where useful.

Aim for a small number of well-supported findings rather than an exhaustive list of every observation. If you did a thorough analysis, such as clustering notes into themes, present the themes rather than the raw data.

6. Recommendations

Findings without recommendations leave readers guessing. For each major finding, offer a specific, realistic next step, and prioritize them. A simple structure is:

What to change or investigate

Why (linked to the finding)

Priority (high, medium, low, based on severity and effort)

Suggested owner or next step

Make recommendations specific enough to act on. “Improve navigation” is vague. “Rename ‘Resources’ to ‘Help and Guides’ and add search to the top bar” is actionable. Where the evidence is limited, say so and recommend further testing rather than overstating.

7. Limitations

Be honest about what the study can and cannot tell you: small samples, prototype constraints, a particular user segment or the artificial setting of a test. Acknowledging limits increases credibility, and it prevents misuse of the results.

8. Appendix

Store supporting material here: full task lists, screeners, discussion guides, detailed participant data, additional quotes and raw metrics. It keeps the main body lean while preserving transparency.

How to Write Findings That Land

Lead with the insight

Put the conclusion first, then the evidence. “Four of five participants abandoned checkout at the shipping step because costs were revealed late” is stronger than a narrative of what happened in each session.

Use evidence people can feel

A single well-chosen quote or a 20-second clip of a participant struggling can be more convincing than a page of description. Pair qualitative evidence with numbers to show scale.

Quantify carefully

Report counts and percentages honestly. With small qualitative samples, say “4 of 6 participants” rather than “67% of users,” which suggests more precision than the data supports.

Separate observation from interpretation

Make it clear what participants did or said, and what you infer from it. This keeps readers from confusing opinion with evidence.

Use plain language

Avoid jargon, internal acronyms and academic phrasing.
