But richness creates a challenge. Hours of conversation do not automatically become insight, and without a clear method, teams tend to remember the most vivid quote rather than the most important pattern.

Thematic analysis gives that process structure. It is a systematic way to identify, organize and interpret patterns of meaning across qualitative data. This guide explains what thematic analysis is, how it works step by step, and how UX teams can apply it rigorously without making it slow.

What Is Thematic Analysis?

Thematic analysis is a method for finding patterns, called themes, across a qualitative data set. Researchers read through the data, label meaningful pieces (a process called coding), group related codes together, and refine them into themes that answer the research question.

The approach is most closely associated with psychologists Virginia Braun and Victoria Clarke, whose framework is widely used in academic and applied research. In UX, it is a flexible workhorse for analyzing interviews, field studies, usability test observations, support conversations and survey comments.

A theme is not simply a topic. “Pricing” is a topic. “Users distrust pricing pages that hide costs until checkout” is a theme: it captures a pattern of meaning and says something about the experience.

Why Thematic Analysis Matters for UX Teams

It makes analysis systematic. A clear process reduces the risk of cherry-picking evidence that confirms existing beliefs.

It creates traceability. Every theme can be linked back to codes and to quotes, so findings can be defended.

It scales across studies. Themes can be compared and combined across projects.

It adapts to different data types. The same approach works for interviews, observations and open text.

It turns stories into direction. Themes translate naturally into design opportunities and recommendations.

Thematic Analysis vs. Affinity Mapping

The two methods are related, and many teams use them together. Affinity mapping is a collaborative, visual technique for clustering notes on a wall or board. Thematic analysis is a broader, more rigorous analytical process that includes careful coding, theme development, review and definition. Affinity mapping can serve as one way to carry out the grouping stage of thematic analysis, particularly in workshops. Thematic analysis adds structure around it: a codebook, repeated review against the data and explicit theme definitions.

Approaches to Thematic Analysis

Inductive (data-driven)

Codes and themes emerge from the data, without a predefined framework. This is ideal for exploratory research where you want to discover what matters to users.

Deductive (theory- or question-driven)

Analysis starts from existing categories, such as heuristics, a research framework or the stages of a customer journey, and the data is coded against them. This is useful when you need to answer specific questions or compare findings with prior work.

Semantic vs. latent

Semantic coding captures what participants explicitly say.

Latent coding interprets underlying assumptions, emotions or meanings behind what is said.

Most UX work combines both: staying close to what users said while also noting what it implies about needs and expectations.

How to Do Thematic Analysis: Step by Step

Step 1: Prepare and familiarize yourself with the data

Start with a clear research question and good source material. Transcribe recordings, or use accurate automatic transcripts you have checked. Then read through everything, ideally more than once, taking rough notes on first impressions. Immersion helps you see the whole picture before breaking it into parts. The quality of your data depends on the quality of your questions, so it helps to have used well-designed interview questions in the first place.

Step 2: Generate initial codes

Go through the data line by line and attach short labels (codes) to segments that are relevant to your question. A code is a concise description of what a segment is about, such as “unsure if payment succeeded,” “relies on screenshots as proof” or “avoids settings menu.”

Tips for good coding:

Code for meaning, not just keywords

Use consistent, descriptive wording

Apply multiple codes to a segment when needed

Stay open to unexpected codes, and don’t discard segments that seem to be outliers

Keep each code’s source quote attached

You can code using tools such as spreadsheets, Notion, Airtable, Dovetail, NVivo or ATLAS.ti, or by hand with sticky notes.

Step 3: Build a codebook

As coding progresses, maintain a codebook: a list of codes with short definitions and example quotes. Merge duplicates, split codes that are too broad and clarify boundaries. A codebook improves consistency, especially when several people code the same data.

Step 4: Search for themes

Group related codes into candidate themes. Look for patterns: codes that frequently appear together, that describe the same underlying issue or that represent different sides of the same experience. Map codes into clusters, then ask what each cluster is really saying. At this stage, themes are provisional.

Step 5: Review and refine themes

Test each candidate theme in two ways. First, check it against the coded extracts: do the quotes genuinely support it? Second, check it against the whole data set: does it tell a coherent story that reflects the data? Some themes will be merged, some split, and some discarded because they lack enough evidence. This step is iterative, and it is normal to move back and forth between codes and themes several times.

Step 6: Define and name themes

Write a short description for each final theme: what it captures, why it matters and how it connects to the research question. Name it so the insight is clear. Compare:

Weak: “Trust”

Stronger: “Users need visible proof that their action worked before they feel safe moving on”

Step 7: Report the findings

Present themes with supporting evidence: representative quotes, frequency or prevalence where meaningful, and implications for design. Connect each theme back to the research questions and to recommended actions. A good report tells a story, not just a list.

A Short Example

A team studies how freelancers manage invoices. After 12 interviews, they code the transcripts and find patterns such as “chases clients manually,” “unsure when payment will arrive,” “keeps separate spreadsheet as backup” and “worries about appearing pushy.”

Through review, these codes cluster into two themes:

“Uncertainty about payment status creates constant background anxiety.”

“Freelancers avoid chasing clients because it feels socially risky, so they rely on workarounds.”

Each theme is supported by quotes from multiple participants and points to design opportunities: automated reminders with a friendly tone, clear status tracking and a single source of truth that removes the need for spreadsheets.

Best Practices for Thematic Analysis in UX

1. Start with a focused research question

A clear question keeps coding relevant and prevents endless, unfocused tagging. Document it in your research plan so the analysis stays aligned with the original goals.

2. Stay close to the data

Ground every theme in evidence. If you cannot point to several supporting excerpts, the theme may be an assumption rather than a finding.

3. Involve more than one analyst

Having two or more people code independently, or review each other’s coding, reduces individual bias. Discuss disagreements to refine definitions rather than simply averaging opinions.

4. Look for contradictions and outliers

Cases that do not fit the pattern are valuable. Distinguish prevalence from importance

A theme mentioned by many participants is not automatically the most important, and a rare issue may be severe. Report both how common something is and how much it matters, while avoiding presenting qualitative data as precise statistics.

6. Be transparent about your process

Record how you coded, how themes were developed and what decisions you made. Transparency makes your findings credible and repeatable.

7.
